Office Administrator

Job Summary

This position ensures that office workflow procedures at the East Hampton office are  followed with maximum efficiency. Provides administrative assistance to the Executive Director and schedules meetings, takes minutes at meetings including Board meetings and managers all board documents. Provides administrative support for the agency, which includes responding to the crisis hotline, administrative phone lines, coordinating with outside vendors as needed.


Specific responsibilities include

  • Responsible for the operation and maintenance of the agency including cleanliness, safety, and security. 
  • Coordinate Agency Calendar events, conferences, and all employee meetings. 
  • Manage the requisition, distribution, and inventory control of all office supplies. Develop a system to ensure adequate stock with containment control.
  • Provides  assistance for malfunctioning office equipment; schedule repair and become familiar with service contracts.
  • Provide administrative support to the Executive Director. 
  • Assist with the preparation of all relevant materials for Board meetings.
  • Provides administrative support to the Riverhead Office when needed. 
  • Compose (as required) and type correspondence, reports, minutes, and memoranda for the Executive Director. 
  • Manage incoming and outgoing correspondence, including emails, faxes, mail and pick up delivery of packages. 
  • Direct incoming calls to appropriate staff and serve as a backup for the hotline
  • Orientate new employees to office policies and procedures on new computer and telephone systems. 
  • Other duties as assigned.

Reports to the Executive Director.


  • Excellent writing skills required.
  • Strong computer skills and tech savvy.
  • Bilingual preferred (Spanish/English).
  • Team management skills.
High school diploma required; Bachelor’s degree a plus.
